Academic Search Procedures

All academic vacancies MUST be posted on the Penn State Electronic Job Management System (EJMS).   In addition, Tenure Track vacancies also require advertising in one publication of national distribution and FT1 and FTM vacancies require advertising in one external source. 

Search Procedures for Tenure Track/ FTM/FT1 Positions
The Affirmative Action Office (AAO) will receive notification from EJMS when an academic vacancy is posted.  An Academic Recruitment Form will be sent to the individual who submitted the posting, to be forwarded to the department contact for completion.

The department will complete the Academic Recruitment Form indicating the name of the Search Committee Chair, the composition of the search committee and the name of the department contact. 

The Academic Recruitment Form should be returned to the AAO within 5 days.

If the department (Tenure Track) or college (Fixed Term) is underrepresented for women and/or minorities, a Short List Approval Form will be sent with the Academic Recruitment Form. This form is to be submitted to the AAO to identify the diversity of the short list prior to inviting candidates for interviews.

An Affirmative Action Recruitment Report (AARR) will be generated through EJMS at the time of hire and a completed copy will be sent to the AAO. 

The AAO will follow up with departments on the status of any search that has not been reported as filled six (6) months after the search began.

Search Procedures for Fixed Term II and Post Doctoral Positions
The AAO will receive notification form EJMS when a Fixed Term II or Post Doctoral Position is posted. 

Fixed Term II and Post Doctoral searches do not require a Search Committee.

An Affirmative Action Recruitment Report (AARR) will be generated through EJMS at the time of hire and a completed copy will be sent to the AAO. 

The AAO will follow up with departments on the status of any search that has not been reported as filled six (6) months after the search began.

NOTE: Academic Searches posted prior to 3/24/14 that did not allow applicants to apply on-line through EJMS should complete the procedure using the Faculty Search Information Form B and Faculty Search Information Form C.
