G-3: DEFERRED GRADES -- APPROVAL

Procedure:    If, for reasons beyond the student’s control, the student is prevented from completing a course within the prescribed time, the instructor may agree to defer submission of the student’s final course grade.  The instructor indicates this approval by recording the deferred grade symbol (DF) on either the Grade Reporting Form or the eLion/Faculty/Submit Grades application.  The expiration date of this deferred grade action is automatically recorded at the end of the sixth week of the next semester.  (Spring semester DF approvals expire fall semester unless the student enrolls during the summer session.)

The Deferred Grade Form is only required if one or more of the following conditions apply:

1.    The instructor’s approved expiration date is earlier than the standard 6-week date.
2.    The instructor is approving an extension to the expiration date.
3.    The course instructor is not available and an authorized individual is making the approval for deferred grade.

Procedure:  Additional Requirements for Distance Education/World Campus Courses

For consideration of a request for a deferred grade in a course offered by Distance Education/World Campus, degree seeking students (including provisional students) should be expected to have submitted between 50% and 75% of their lessons, as specified by the associated college.  Non-degree students should be expected to have submitted a minimum of 75% of their lessons.  A request for a deferred grade must be received by Distance Education/World Campus at least two weeks before the end of the course.  Distance Education/World Campus will provide the instructor with pertinent information along with the student's deferred grade request.  The instructor will notify Distance Education/World Campus of the decision regarding the deferred grade request in a timely manner.
