The transition to Workday Recruiting to impact HR systems

Since Workday has gone live, Penn State Human Resources (HR) has utilized the technology to improve the employee experience. On Monday, March 23, Workday Recruiting, the second phase of the Workday implementation, will build upon that technological foundation. This recruiting technology will streamline the hiring process and will enable the University to take a more strategic approach to talent acquisition. 

Given the capabilities of this new recruiting technology, HR will soon begin moving current hiring forms and processes from WorkLion and Electronic Job Management System (EJMS) into Workday. As a result of the transition, there will be times where users may have limited or no access to existing HR systems.

“While it is never easy to interrupt our University's operations, a brief blackout period is necessary when changing systems of this magnitude. We appreciate your patience and assistance as we move toward our go live,” said Lorraine Goffe, vice president for human resources and chief human resources officer.

Here’s a brief rundown of what you can expect over the next few weeks. 

Key Dates:

Friday, March 6, at 5 p.m. - The last day HR Recruiting teams will accept a Request to Post form to post new jobs on psu.jobs.

Tuesday, March 10 – The last day new jobs will be posted on EJMS.

Wednesday, March 11 – EJMS, which can be accessed via the WorkLion portal, begins a period of limited accessibility until Monday, March 23. Users will be able to view information in the system but cannot edit/modify any records.

Saturday, March 14 – Workday will be offline for all Penn State users from 9 a.m. through 5 p.m.

Saturday, March 21 – Workday will be offline for all Penn State users from 7 a.m. through 3 p.m.

Monday, March 23 – Workday Recruiting goes live. EJMS will be used for Internal Tech Service bidding only and all other hiring related activities will be performed within Workday.

Hiring Activity by Group

Hiring Managers

When the EJMS period of limited availability begins on Wednesday, March 11, hiring managers will still be able to act on jobs posted in WorkLion (EJMS) before March 10, such as interviewing candidates and extending offers to candidates. However, posting of any new jobs and advertising will be temporarily suspended.

Candidates and Applicants

Candidates and applicants, both internal and external, will have “View Only” access on psu.jobs. While candidates will be able to view job information, the application process will be temporarily suspended.

Search Committees

Search committee members will also have modified access to WorkLion (EJMS). Like managers, members will be limited to viewing candidate materials on jobs applied to by March 10.

Workday

Workday will be unavailable for all Penn State users on Saturday, March 14 (9 a.m. through 5 p.m.) and again on Saturday, March 21 (7 a.m. through 3 p.m.). During both dates, all Workday functionality will be offline.
