Employees encouraged to opt out of paper W-2s

UNIVERSITY PARK, Pa. — As the end of 2023 draws closer, the Penn State Payroll Office is encouraging faculty, staff and student workers to begin preparing for tax season.

Each year, more than 50,000 electronic W-2s are uploaded into Workday. Delivering these W-2s electronically helps the University to advance its sustainability goals, which are a key component of the Penn State Strategic Plan. Additionally, these electronic W-2s secure each employee's personal information and reduce the risk of a paper W-2 being lost in the mail.

Employees who opt out of receiving a paper copy of the W-2 will have access to their year-end W-2 form several weeks earlier than those receiving a mailed copy.

For those who haven’t already done so, the Payroll Office highly recommends that all employees opt out of a paper copy of their W-2 in Workday by Dec. 20. For more information, the Workday resource "Choosing Your W-2 Election Method in Workday: Print/Electronic" can help guide employees through the process of selecting the electronic W-2 only.

Questions about this process can be submitted through the WorkLion Portal or by phone at 814-865-1473.
