Workday Recruiting is now live

UNIVERSITY PARK, Pa. — Workday Recruiting — Penn State's new technology that will help to streamline recruiting processes, engage candidates throughout the recruiting cycle, and support University leaders with data to make informed decisions — is now live.

"Today marks a significant milestone in Penn State’s ongoing journey towards achieving our talent acquisition strategy and vision of making our University a preferred place to work for those throughout the United States and the world," said Lorraine Goffe, vice president for human resources and chief human resources officer. "As a result of these features, we will be better equipped to identify and hire the best, and most qualified, internal and external candidates.

“Thank you to everyone throughout the University for your help, cooperation, flexibility, and patience as we completed this significant milestone."

Today’s go-live is the culmination of work that started in June 2019, implementing the second phase of Workday with the new recruiting application, which was brought on to replace psu.jobs and the current Electronic Job Management Systems (EJMS). (Please note that Tech Service employees will still use EJMS for the Internal Bidding process, but it will be accessed through Workday Career.)

This project was a collaborative effort among members from Penn State Human Resources (HR); WorkLion Management Office (WMO); Finance and Business Office of Change Management; and Collaborative Solutions, a third-party implementation vendor; as well as various Subject Matter Experts (SMEs) from across Penn State. 

“With Workday Recruiting our staff will experience a streamlined recruitment and hiring process that will reduce the hiring timeline while improving efficiency, consistency, and tracking,” said Lori Yacisin, director, talent acquisition.

The New Recruiting Experience

Employees

All employees will see the new application on their Workday homepage, called "Career." Within this application, employees can explore new career opportunities, modify their professional profile, refer an external candidate who might be a good fit for an open position, or apply to open positions. Students also will be able to use this option to apply to jobs within Penn State.   

Hiring managers

Additionally, the new recruiting dashboard application, which appears on hiring managers’ Workday homepages, will enable managers to initiate job requisitions, have visibility into candidate status, provide quick access to recruiting-related reports, and more easily extend offers.

Go-live support

To aid in the transition to the new technology, members of the HR Talent Acquisition team will be available to answer any real-time questions regarding the tool and the new processes. The following Zoom sessions are open to anyone in the Penn State community.

Note, these sessions will not include any presentations. Given the remote working recommendations, the Zoom sessions are essentially a virtual open “office hours” format, consisting of a series of two-hour sessions.

The schedule for upcoming sessions is as follows:

  • Wednesday, March 25, from 10 a.m. to noon
  • Wednesday, March 25, from 2 to 4 p.m.
  • Thursday, March 26, from 10 a.m. to noon
  • Thursday, March 26, from 2 to 4 p.m.
  • Friday, March 27, from 10 a.m. to noon
  • Friday, March 27, from 2 to 4 p.m.

Penn State HR has created a dedicated Knowledge Base section within the WorkLion portal containing job aids specifically for the new recruiting technology.

Upcoming Zoom Training

While the project team has been delivering training since early February, the team will continue to offer additional training sessions in the coming weeks. The Workday recruiting project team has scheduled a series of remote training sessions that will be held over Zoom. Managers and manager recruiting support can register now in the Learning Resource Network (LRN). The project team recommends signing up for sessions based on the employee types you hire most frequently:
